Executive Administrative Assistant to the VP of WyldLife

Mission & Authority

This position will provide excellent administrative assistance to the vice president of WyldLife as well as represent the office in a hospitable, professional manner for the mission of Young Life.

​Essential Duties:

Written and Verbal Communication

  • Compose, proofread, and edit letters, emails, documents, presentations and other materials, as needed by the vice president.
  • Update the WyldLife Toolbox on Staff Resources and other online resources as necessary.
  • Work with vice president to create and implement a communications calendar for WyldLife staff, volunteers, donors, prayer team, and others.
  • Manage the general WyldLife email account, responding promptly to questions.
  • Provide guidance on WyldLife policies and practices with staff and volunteers.
  • Work with vice president to develop and manage content for social media platforms.

Support Staff Programs

  • Serve as the point person for conference calls and training events.
  • Represent WyldLife with other mission leadership administrators.
  • Work with regional and divisional WyldLife representatives to create, maintain, and update lists of WyldLife staff.

Administrative Support

  • Make appointments, schedule Zoom calls, and manage the calendar for the WyldLife office.
  • Organize and maintain online files for easy access and referral.
  • Assist with creating job descriptions, hiring process, and managing PAR and payroll.

Budget and Accounting

  • Monitor accounting systems such as cash flow, budgets, transfers and CONCUR.
  • Accurately submit and track donations.
  • Process and pay all monthly expenses and bills.
  • Provide reimbursements and check requests, as needed.

Performance Monitoring and Evaluation

  • Monitor performance metrics and deliverables for vice president and others, as needed.

Events

  • Provide administrative and logistical support for in-person and virtual events such as the WyldLife Summit and national team meetings.

Job-Specific Working Condition​s

  • This position is located in Dallas and can be hybrid, working from the office 1-2 days a week.
  • This position has an anticipated salary range of $42,009 - $52,576 annually depending on the relevant experience and education.

Qualifications:

Education

  • BA preferred or equivalent experience

Experience Required for the Job

  • Understanding of WyldLife and Young Life is helpful.
  • Demonstrated excellence in communication skills, both written and verbal.
  • Strong organizational skills.
  • Demonstrated proficiency in Microsoft Office, Excel, G-Suite, Photoshop Elements and Canva.
  • Self-motivated and detail-oriented with ability to manage concurrent projects.
  • Good judgment and problem-solving skills.
  • Previous event planning experience.
  • Strong interpersonal skills with ability to build relationships with field staff and senior leadership.
  • Able to successfully work with minimal supervision.
  • Proven experience with confidentiality.
