DIVISIONAL ADMINISTRATOR I (FORMER SOVIET UNION)

Mission & Authority:

This position assists the divisional field senior vice president (SVP) in his or her support, supervision, and leadership of the regional offices and division as a whole.

Essential Duties:

Spiritual Development

  • Develop an annual personal growth plan that fosters a vibrant spiritual life.
  • Seek and maintain relationships and disciplines, in the context of active participation in a church community.
  • Actively participate in the spiritual life of the Young Life community.
  • Assist the SVP in ensuring prayer is a priority in the division.

Administrative Support

  • Maintain SVP’s schedule.
  • Compose letters, documents, emails, and reports as needed.
  • Proofread a variety of documents.
  • Manage calendar, schedule, and inbox.
  • Coordinate travel, meeting arrangements, and conference calls.
  • Manage office files and records (electronic and hard copies) for easy retrieval.
  • Assist with team communication monthly reports.
  • Prepare monthly expense reports (your own & SVPs).
  • Track due dates for projects and assignments given to the SVP.
  • Assist in ensuring required reporting for donors, foundations, and GSVP offices is being submitted on time.
  • Accurately process and pay all monthly expenses/bills, as needed.
  • Coordinate special projects as needed by the SVP.

Leadership Development

  • Facilitate the staff development plans for the SVP direct reports (including regional directors and divisional staff).
  • Facilitate the staff evaluation process for SVP direct reports.
  • Look ahead and plan on behalf of the SVP.
  • Support and serve on the Divisional Lead Team (DLT).
  • Participate in at least one skill or personal development experience each year.

Resource Development

  • Assist SVP in regularly reviewing the financial health in each region and the division as a whole.
  • Assist SVP in ensuring excellence in SVP communication to donors.
  • Assist the campaign director and the operations team in providing required reports to major donors, church partners, and foundations.

SVP Leadership Meeting Coordination

  • Assist in the planning, coordination and execution of leadership team meetings including 3 DLT in-person meetings a year, Monthly DLT Zoom meetings, Division Operations Team (DOT) annual retreats, DOT monthly Zoom meetings, Executive Committee monthly Zoom meetings, 1 Executive Committee in-person meeting a year
  • Create a planning timeline for each event and ensure deadlines are met
  • Research and reserve any activities, restaurants, and events where applicable
  • Research venues and negotiate contracts
  • Plan the needs of each part of the event
  • Manage the communication plan for each event
  • Serve as the liaison for hotel staff on accommodations, meeting needs, meals, and other needs.
  • Serve as the lead point person for external speakers, donors, etc.
  • Serve as the point person during all events for attendees
  • Plan and implement the registration, materials, and logistics

Ministry Support

  • Promptly respond to questions from the field when needed.
  • Provide guidance and act as a reference on Young Life policies and procedures for staff and volunteers.
  • Attend regional admin training as needed.
  • Maintain a healthy working relationship with regional administrators within the division, caring for, supporting, and encouraging them in their jobs.
  • Resolve problems and questions in the absence of the SVP, as appropriate.
  • Assist in maintaining a divisional roster with staff information.
  • Maintain an 18-month divisional calendar.
  • Assist in maintaining divisional cash flow and yearly budget planning.
  • Assist Ops Director in compiling compensation information for the SVP’s review and approval before submission to Human Resources.
  • Coordinate translation of divisional missional materials and communications.
  • Coordinate with the Divisional Developing Global Leaders (DGL) representative to help manage the program within the division, in coordination with the DGL office.
  • Coordinate with Mission Services for staff travel logistics, visa letters, etc. for staff traveling on behalf of the mission (fundraising, conference attendance, training events, etc.)
  • Assist with other divisional events as needed.

Qualifications:

Education:

  • BA preferred or equivalent experience.
  • Ongoing education is encouraged.

Experience Required for the Job:

  • Personal desire to know, love and follow Jesus Christ.
  • Dependable and reliable.
  • Previous experience in an administrative job, supporting executive leadership of a large company or organization.
  • Knowledge of Young Life, specifically experience with international ministry in Young Life preferred.
  • Knowledgeable in office management capable of planning and delegating work of others if applicable.
  • Self-motivated
  • Excellent organizational skills, paying attention to details with the ability to handle concurrent tasks and constant interruptions.
  • Demonstrated proficiency in Microsoft Office Suite.
  • Must have a good grasp of English grammar, and strong written and verbal communication skills.
  • Ability to maintain confidentiality.
  • Basic budget tracking skills.
  • Must be “customer service”-oriented, maintaining a warm, positive, personable manner with flexibility.
  • Professional and pleasant phone and meeting presence.
  • Possess good judgment, reasoning ability, and strong problem-solving skills.
  • High cultural intelligence and experience working in cross-cultural and/or multi-lingual environments.

  • This is a remote position
  • There will be occasional domestic and international travel required throughout the year.
