DIVISIONAL OPERATIONS ADMINISTRATOR (International, Former Soviet Union)

 

Essential Duties:

To provide administrative support for the FSU Divisional Operations Director.

Written Communication

  • Compose emails and memos from the Ops Director to Regional Directors, Admins, and other support staff in the Division (i.e. monthly RD update).
  • Coordinate field translation of YL and divisional documents as needed.
  • Create spreadsheets and PowerPoint presentations as needed by the Ops Director for communicating important data to the division.
  • Monitor and respond to emails from regional admins in a timely and professional manner, maintaining a good flow of communication with them.
  • Schedule ZOOM meetings for the Operations Director as needed.

Administration of divisional operations

Coordinate with the Operations Director to ensure the successful training, support, and implementation of the following processes:

  • Annual Budgets - create annual templates for each region/area, monitor the progress of each region, provide summaries of completed budgets to Operations Director as requested.
  • Core Ministry Count in YL Connect - support the CMC Support rep in monitoring each region's input, provide summaries to Operations Director as requested, monitor developing/open/closing ministries.
  • Strategic plan initiatives - support the Operations Director in creating and implementing annual goals with YL function lead departments.
  • iStaff Management - review quarterly updates of current iStaff (new and terminated) and keep iStaff list accurate, manage new staff hires (PARs, budgets, wire info, staff sponsor info, development/communications)
  • Camp Data Portal in Knack - camping plans, budgets and reports.
  • International Assistance Fund - assist with communications and tracking
  • Developing Global Leaders (DGL) programs - support the DGL admin as needed, particularly through the application process.
  • FSU Maps - coordinate with regional admins and contracted map maker to update regional maps.

General Divisional Support

  • As a part of the divisional operations team (DOT), attend regular meetings, retreats, trainings.
  • Offer support to Communications, Expeditions, Financial Analyst, and Development as needed.
  • Serve on one of the regional Action Teams.

Qualifications:

Education:

  • BA preferred or equivalent experience

Experience Required for the Job:

  • Two years previous experience as an administrative assistant.
  • Demonstrated proficiency in Microsoft Office Suite.
  • Knowledge of Young Life preferred.
  • Excellent organizational skills with attention to detail and the ability to handle concurrent tasks and constant interruptions.
  • Must have a good grasp of English grammar and strong written communication skills.
  • Basic accounting skills.
  • Must be able to establish effective working relationships with Young Life field staff and offer excellence in customer service to fellow staff, donors, and general public.
  • Possess good judgment, reasoning ability, and strong problem-solving skills.
