Divisional Administrative Assistant - SOUTHCENTRAL DIVISION

Description:

This position is responsible for providing excellent administrative assistance to the SVP of the Southcentral Division. This individual will represent the division in a personable manner by demonstrating flexibility, resourcefulness and a professional attitude.

Responsibilities:

  • Represent SVP and division in a professional manner in both external and internal communications.
  • Manage SVP calendar, travel, correspondence and expenses.
  • Maintain and communicate divisional calendar and deadlines.
  • Assist with the organization of divisional events and meetings, including scheduling meeting rooms, catering, travel and transportation, meeting materials.
  • Assist with logistics regarding personnel processes such as staff interviews, new hires, moving authorizations, PARs, commissioning and sabbaticals.
  • Create and manage content, including mailings, emails, newsletters. ​
  • Accurately process and pay all monthly office expenses and bills.
  • Complete monthly expense reports and check requests in Concur.
  • Build financial and donor related reports and support donor communication.
  • Distribute various divisional funds (subsidies, moving, Assignment Team Training, discretionary, etc.) with SVP approval.
  • Think forward to support SVP for upcoming meetings and events, including preparing meeting agendas, meeting pre-reads, and powerpoint presentations as needed.
  • Maintain distribution and email lists used by divisional office.
  • Run daily office management, including office supplies, mail, shipping, errands.
  • Provide support for camping processes such as assigned team placements and communication, camp request and allocation, adult guests, work crew placement.
  • Manage other projects as assigned.

Qualifications:

  • Previous Young Life involvement and/or an understanding of mission culture preferred.
  • Strong organizational skills.
  • Demonstrated excellence in communication skills — written and verbal.
  • Ability to work at and maintain highest levels of confidentiality.
  • Excellent grammar, editing and proofreading skills.
  • Demonstrated proficiency with Microsoft Office Suite including Excel and PowerPoint; desire and ability to learn new software skills as needed.
  • Must multi-task assigned projects autonomously to completion.
  • Strong interpersonal skills; proven ability to maintain positive relationships and collaborate well with others.
  • Successful team player and productive self-starter; able to oversee projects from start to finish.
  • Must be detail-oriented; work successfully with minimal supervision.

Working Conditions

  • Occasional travel required to off-site meetings

Education

  • BA preferred

The anticipated salary range for this position is $18.36 - $22.96 per hour.
