EXECUTIVE ADMINISTRATIVE ASSISTANT TO THE VP OF INTERNATIONAL HR

Mission & Authority

This position provides excellent administrative assistance to the Vice President of International HR & Global Benefits through managing calendars and scheduling, related programs and initiatives, and assisting with the tremendous needs and growth for International HR and Global Benefits.

​Essential Duties:

Program Support

  • Execution and management of HR initiatives and programs in International Human Resources for Young Life

Talent Management and Supervision

  • Assist in the recruitment and hiring efforts for all five international divisions.
  • Engage with hiring managers to understand hiring requirements, realistic expectations, and onboarding questions, administratively.
  • Coordinate occasional interview logistics including scheduling interview times with candidates and interview teams.
  • Facilitate interviews.
  • In conjunction with the International HR VP, along with the Directors of Compensation, Global Benefits, and Int’l HR, facilitate compensation and total rewards analyses, along with job descriptions/employment matters that arise.

Onboarding and Orientation

  • Assist hiring managers with the collection of new hire paperwork and preparation for new staff arrival and onboarding.
  • Assist in the implementation and maintenance of a Young Life Mission Services orientation program.
  • Produce and distribute weekly staffing all building emails.

Administrative Support

  • Provide administrative support to the VP as needed (correspondence, record keeping, file maintenance).
  • Prepare various presentations and poof read a variety of documents.
  • Articulate policies and documents to staff and volunteers.
  • Organize and respond to, as appropriate, incoming correspondence (phone, email, U.S. mail).
  • Manage calendar, schedule, and inboxes.
  • Provide primary phone support.
  • Coordinate travel, meeting arrangements, and conference calls.
  • Draft general letters and reports.
  • Manage office files and records (electronic and hard copies) for easy retrieval.
  • Act as a liaison with internal experts and colleagues to resolve issues. ​

Budget and Accounting

  • Manage budget costs of expense accounts to ensure that expenditures do not exceed budget limits.
  • Create, maintain and/or analyze Excel spreadsheets for accounting reports.
  • Manage expense reports and serve as a proxy for purchase card transactions for the VP.
  • Work with the Finance department to monitor and correctly categorize expenses.

Job-Specific Working Condition​s

  • This position is located in Colorado Springs, Colorado at Young Life's Service Center
  • The anticipated salary range for this position is anywhere from $40,000 - $52,572 per year depending on experience.

Qualifications:

Education

  • College degree preferred.
  • Office environment in Colorado Springs, Colorado but may also involve some travel.

Experience Required for the Job

  • High level of confidentiality and must handle sensitive information appropriately.
  • Represent the HR office in a friendly and professional manner.
  • Excellent professional communication skills, both verbal and written.
  • Must multi-task and have assigned ongoing- projects to completion.
  • Ability to learn and operate HR and other related computer systems.
  • Demonstrated proficiency in Microsoft Office Suite with 55-60 wpm.
  • Demonstrate the ability to work well independently and with others.
  • 5 - 7 years of administrative experience preferred working for senior executives.
