Executive Administrative Assistant - SVP, Global Cities (Part-Time)

Mission & Authority

This position is responsible for administrative duties in support of Global Cities and the SVP of the Global Cities Initiative. The main goals of this position are to maintain ‘office’ organization and efficiency via calendar management, travel planning, event management and marketing efforts.

​Essential Duties:

Manage the SVP’s office in a proactive and professional manner.

  • Calendar Management - Manage the calendar of the SVP of Global Cities. Determine the urgency of requests and priorities accordingly to complete tasks in a timely manner. Manage long-term view of calendar strategically by collaborating with the SVP of Global Cities.
Global Cities meetings and calls
Cohort calls
In-person cohort meetings
Coaching calls
Donor meetings
Miscellaneous meetings and calls
SVPs travel dates
  • Financial Management
Expense reports and invoices
Manage GC office budget and GC accelerator fund budget
Transfers and accelerator fund disbursements
  • Travel: Book all of SVP’s travel arrangements (air, train, rental car, hotel, etc.)
  • Events
Manage all special events, galas, dinners and cohort in-person meetings
Secure venues, vendors (catering, entertainment, décor, etc.), supplies
Communication, registration, volunteers, program, run of show, etc.
  • Board Meetings
Set-up of physical meeting space and associated needs (food, AV, etc.)
Confirm and track attendance
Disseminate agenda and pre-reads, follow-up on next steps
  • Marketing and Communications  
Execute website edits and maintenance
Prepare donor presentations
Compile stories for monthly newsletter
Manage monthly prayer communication

Job-Specific Working Condition​s

  • The anticipated pay for this role can range from $20.20-$25.28 per hour, depending on relevant education and experience.
  • This is a part-time working position.

Qualifications:

Education

  • Bachelor’s degree preferred ​

Experience Required for the Job

  • Prior experience working in an administrative capacity ideal. 
  • Previous experience/involvement in Young Life a plus.
  • Excellent organizational skills with attention to detail.
  • Strong written, interpersonal and oral communication skills.
  • Ability to interact and coordinate at all levels of the organization.
