Area Administrator (Part-Time) — Rockford, IL

Description:

Illinois Stateline Young Life is seeking a part-time area administrator who would work closely with staff to support the area's administrative needs. This area administrator will be the information center of the area and thus play a key role. Keeping detailed information and being open to relaying necessary information to staff, leaders, students, parents, and donors is vital to the health and success of the area. An ideal candidate will be able to handle details and small tasks without losing sight of the mission of Young Life. This person will also have the ability to create and refine systems to help move the area toward long-term health, allowing us to impact more kids.

Responsibilities:

Donations

  • Process donations on a weekly basis and develop systems to thank donors.
  • Help manage systems that give area staff the necessary information to assist in donor care.
  • Complete month-end records to ensure accuracy in area finances.

Office

  • Manage the office environment including keeping track of office supplies.
  • Maintain regular office hours.
  • Proactively prepare bulk mailings, camp flyers, club cards, and any other resources for staff or volunteers that may be needed.

Staff

  • Manage and train any new staff on Young Life systems (Concur, YL Connect/Salesforce and the Staff Resources Site).
  • Interact with the regional office on PARs (Personnel Action Requests for new hires), new P Card users, etc.

Leaders

  • Process background checks for new leaders.
  • Ensure all leaders remain in compliance with necessary requirements (background check, Faith and Conduct, driver's questionnaire, trainings, etc.).

Communication

  • Organize and send out the newsletter as directed by the area supervisor.
  • Input kid contacts for each school ministry.
  • Communicate and help with marketing for upcoming events in the area for leaders, students, and committee members.
  • Update the website on a monthly basis with necessary trip and event information.
  • Manage Facebook and Instagram accounts for the area.
  • Respond to all emails and calls within 24 hours.

Events

  • Coordinate and help facilitate area events (banquet, golf outing, etc.).
  • Run check-in for all camp trips and reserve buses as needed.
  • Manage the online camp registration pages, camp systems, and all camp-related administrative tasks.
  • Communicate updated and accurate information to parents and donors.
  • Manage all logistical details pertaining to weekly Young Life events such as club and Campaigners.

Delegate

  • Be able to delegate tasks to volunteers and lead parent volunteers on different tasks or projects.

Manage

  • The area Google Calendar with regional deadlines, meetings and area events.
  • Cash Flow and area financial records.
  • YL Connect (Salesforce).
  • Any other tasks assigned by area staff.

Qualifications:

Education

  • Bachelor's degree preferred.

Working Conditions

  • Office environment with option for remote work. Occasional travel might be required.

Other Qualifications

  • Capable of successfully overseeing the elements of donor management and follow through.
  • Tested and proven in environments that demand proactivity and punctuality in meeting deadlines.
  • Excellent verbal and written communication skills.
  • Event planning.
  • Ability to maintain confidentiality.
  • Ability to accurately process donations and keep accurate records.
  • Ability to work as a team member with other Young Life staff and volunteers.

Notes:

This position comes with a significant amount of flexibility and can set a schedule and office hours that work well for the individual.

Compensation range is $16-$18 per hour, depending on experience.

Hours per week are in the five to 10 range; flexible based on the needs of the candidate and area.
