Area Office Administrator I (Part-Time) — Madison, WI

Dane County Young Life is looking for an area office administrator to work closely with the area director and college director. This role is posted as part-time with 20-30 hours, but a conversation can be had regarding full time. This person must be able to multitask, prioritize what is necessary for the area ministry at any given time, and have high attention to detail (while loving it!). You will be the behind-the-scenes person helping our staff and volunteers to be able to focus on connecting with kids. Our ministry currently serves the greater Madison area, which actively includes the school districts of Mt. Horeb, Verona, Middleton, and Madison. We currently have a high school (Young Life), middle school (WyldLife), and college-aged ministry.

This position provides administrative support, enabling the Young Life field ministry area office to function in an organized and efficient manner.

Responsibilities:

  • Answer emails, social media, create monthly communications, oversee recurring club communications. Simple graphic design abilities (using Canva).
  • Enter Core Ministry Counts each week and month.
  • Oversee and manage our local kid, parent, and donor database with precision and accurate data.
  • Interact with the area office assistant, area directors, area committee, team leaders and volunteer leaders, and regional administrative team.
  • Help with all administrative tasks for camp trips.
  • Update the area calendar with the school calendar.
  • Pay invoices/process expense reports/oversee local income processing.
  • Help with new hire paperwork and required document to hire/terminate area staff.
  • Help with area fundraisers and event coordinating throughout the year.

Qualifications:

  • Previous administrative assistant experience preferred.
  • Proficiency in Microsoft Office Suite (which includes Word, Excel, Outlook, and PowerPoint), Google Drive, and Canva. Salesforce experience is a bonus.
  • Strong organization skills with attention to detail and processes with the capability of handling concurrent tasks and constant interruptions.
  • Good grammar skills and strong written and verbal communication skills.
  • Ability to maintain confidentiality with proven relational skills with kids and adults.
  • Basic accounting skills/knowledge.
  • High school education or its equivalent (ongoing education encouraged).
  • Spanish skills are a bonus.

Notes:

  • No personal fundraising required (will be encouraged to participate in area fundraising as able).
  • Personal home office environment. Locally remote – must live in Dane County (west side preferred).
  • Must be present and in-person for all large area events.
