Area Office Administrator (Part-Time) — Ann Arbor, MI

Description:

Young Life Greater Ann Arbor is seeking a part-time area administrator who would work closely with the area directors and staff to support the area's administrative needs. The area administrator will be the information center of the area and thus play a key role. Keeping detailed information and being open to relaying necessary information to staff, leaders, students, parents and donors is vital to the health and success of the area. An ideal candidate will be organized, detail-oriented and passionate about students knowing Jesus Christ. The person will also have the ability to create and refine systems/manage projects to help move the area toward long-term health, allowing us to impact more students.

Responsibilities:

Resource Development

  • Check the area PO Box and process incoming donations on a monthly basis.
  • Develop systems to thank donors.
  • Help manage systems (including Salesforce) that give staff the necessary information to assist in donor care.
  • Complete month-end records to ensure accuracy in area finances.
  • Pay invoices and complete reimbursement requests from leaders.

Volunteer Leader Assistance

  • Complete the on-boarding process for new leaders.
  • Maintain the staff/volunteer directory ensuring that all volunteers remain in compliance with necessary requirements (background check, Faith and Conduct, driver's questionnaire, trainings, etc.).
  • Partner in planning leader training/all area events as determined by the area directors and staff.

Communication

  • Organize and send the Monday Must-Know — a weekly email to volunteer leaders communicating any pertinent information.
  • Organize and send the monthly email newsletter, adding contact emails for new parents/community members into our Mailchimp system.
  • Update the area website on a monthly basis with necessary trip and event information.
  • Proactively prepare bulk mailings, camp flyers and any other resources for staff or volunteers that may be needed.
  • Manage Facebook and Instagram accounts for the area in coordination with staff/team leaders.
  • Respond to voicemail, email and phone calls in a timely, professional manner.

Events

  • Coordinate and help facilitate area events (wine and cheese fundraiser, mini marathon, etc.) along with follow up.
  • Run check in for all camp trips and reserve buses as needed.
  • Manage the online camp registration process (set up pages, manage registrations, track health forms, track payments and fundraising).
  • Communicate updated and accurate information to parents and donors.

Manage

  • Participate in weekly staff meetings and follow up on committed tasks from staff.
  • The area Google Calendar with regional deadlines/meetings and area events.
  • Cash Flow and area financial records.
  • YL Connect (Salesforce) including weekly and monthly Core Ministry Count deadlines.
  • Reserve on-campus meeting spaces including Friday night leadership and any other needs.
  • Any other tasks assigned by the area directors.

Qualifications:

  • Associate or bachelor's degree preferred.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and Google Drive.
  • Strong organizational skills with attention to detail.
  • Ability to maintain confidentiality.
  • Great customer service skills.
  • Proven relational skills.

Notes:

  • This position requires flexibility and adaptability, averaging five to eight hours/week.
  • It could require some evenings and weekends throughout the year.
