Description:
Portland West Young Life is looking for a part- to full-time office administrator. This position is approximately 20-30 hours per week with flexibility for increased hours during special fundraising and area events.
The ideal candidate must be a self-starter with a heart for service who can run a variety of projects and takes pride in high quality work. This person must also feel comfortable interacting/speaking with adults and students in a variety of situations like fundraising or seeing a group of students off to camp.
Responsibilities:
The primary function of the role is providing administrative support for the area -- for the staff as well as the committee, leaders, parents, and kids. This includes but is not limited to the following:
Communication Administration
- Respond to correspondence (email or any written inquiries).
- Create/generate area publications.
- Support area staff in procuring/creating content for the area newsletter.
- Create club/event postcards and/or flyers.
- Create and schedule social media content.
- Maintain the area's website.
- Send thank you letters to donors.
Financial Administration
- Manage monthly expenses.
- Pay area bills.
- Create and submit your expense report through Concur.
- Process donations.
- Track donations through YL Connect.
Database Administration
- Create/update various contact lists within YL Connect.
- Monitor the Staff/Volunteer Roster and Volunteer Manager monthly on Staff Resources.
Event Administration
- Assist with fundraising events: banquet, Top Golf tournament, and Father/Daughter Dance.
- Create invitations, packets (sponsor, table host, golfer), programs, donor cards.
- Track the guest list, table sponsors, RSVP list, and donations/payments.
- Send thank you notes/letters.
Management for Summer Camp Trips
- Track registrations, payments, health forms, and funds raised by kids.
- Communicate with parents about travel itineraries, health forms, packing lists, and fundraising.
- Create camp registration flyers.
Qualifications:
- High school education or equivalent.
- Associate or bachelor's degree preferred but not required.
- Strong interpersonal skills with both adults and kids.
- Excellent written/verbal communication skills.
- Previous administrative and Young Life experience preferred.
- Proficiency in Microsoft Office Suite/Google equivalent (which includes Word, Excel, Outlook, and PowerPoint).
- Strong organizational skills with attention to detail.
- High capacity for managing concurrent tasks and constant interruptions.
- Ability to maintain confidentiality.
- Willingness to show initiative to develop processes/systems to better serve the area.
