Area Administrator (Part-Time) — Great Falls, MT

Description:

Young Life in Great Falls, Mont., is looking for an area administrator to provide administrative support for ministry staff as well as the committee, leaders, parents, and kids.

Responsibilities:

Communication Administration:​​​ Words matter, so in our conversations and/or written communications with area staff, leaders, parents, kids, or the general public, we are mindful first of greeting and checking in with each individual before moving on to business. With that in mind, these are the primary communication duties:

  • Manage email communication.
  • Respond to correspondence (email [respond within 48 hours] and respond to any written inquiries).
  • Create/generate area publications.
  • Create and send a monthly area eNewsletter with the help of the area staff.
  • Create club/event postcards and/or flyers.
  • Send prayer emails and monthly donor updates.
  • Assist in the creation of personal support mailings.
  • Maintain the area website and social media accounts.
  • Send thank you letters to donors.

Financial Administration

  • Manage monthly expenses.
  • Pay area bills (phone, internet, etc.).
  • Create and submit expense reports through Concur.
  • Create and submit expense reports for staff members and volunteers in Concur (if applicable).

Process Donations

  • Make sure the donations post on the correct dates.
  • Track donations.
  • Regularly review cash flow and donations in our internal Salesforce system.

Database Administration

  • Create/update various Contact lists within YL Connect: donors, kids, and parents.
  • Event invite lists (banquet, golf tournaments, etc.).
  • Monitor the Staff/Volunteer Roster and Volunteer Manager monthly, updating when necessary.

Event Administration

  • Coordinate area meetings alongside staff and committee. Create the agenda, communicate dates/times, etc. for area staff meetings, area leadership meetings, and area committee meetings.
  • Assist with fundraising events (banquet, golf tournament, flower baskets, etc.).
  • Create invitations, packets (sponsor, table host, golfer), programs, and donor cards.
  • Using Webconnex, track the guest list, table sponsors, RSVP list, and donations/payments.
  • Communicate with volunteers about event details and responsibilities.
  • Send thank you notes/letters.

Camp

  • Using YL Connect Camp, track the following: registration, payment, health forms, and funds raised by kids.
  • Communicate with parents regarding the following:
- Camp sign-up dates.
- Travel/camp itineraries.
- Health form procedure.
- Packing lists.

Fundraising

  • Create camp registration flyers.
  • Communicate with the camp (A-Form and 10-Day Call-In).

Training

  • When appropriate, coordinate or provide administrative training to the following: area director, area staff, committee, and volunteer leaders.

Qualifications:

  • High school education or equivalent.
  • Associate degree preferred but not required.
  • Strong interpersonal skills with both adults and kids.
  • Proficient in some graphic design or willingness to learn.
  • Excellent written/verbal communication skills.
  • Previous administrative experience preferred.
  • Proficiency in programs such as Microsoft Office Suite (includes Word, Excel, Outlook, and PowerPoint) and Google Docs.
  • Strong organizational skills with attention to detail.
  • High capacity for managing concurrent tasks.
  • Ability to maintain confidentiality.
  • Willing to show initiative to develop processes/systems to better serve the area.
