Area Administrator I (Part-Time) — Austin, TX (CapCity)

Description:

Young Life CapCity is looking for an organized self-starter to provide administrative support to the area, enabling it to function in an organized and efficient manner. This area administrator will be the information center of the area and thus play a key role. An ideal candidate will be able to handle details and small tasks without losing sight of the mission of Young Life. This person will also have the ability to create and refine systems and processes to help move the area toward long-term health, allowing us to impact more kids while engaging our communities well.

CapCity Young Life has more than a decade of healthy and thriving ministry in the private schools of Austin and developing ministry at Texas School for the Deaf. The area currently has four full-time staff and 75 volunteer leaders serving seven ministries that are engaging students in both middle school and high school with more than 300 people attending Young Life and WyldLife camps each summer. The area has an active committee, healthy finances, and opportunities for continued growth.

Responsibilities:

General Administration

  • Provide general office support. Respond to emails, mail, and other messages. Keep files and inventory updated. Complete annual requirements as a business and assist with office upkeep and organization.
  • Maintain an existing complex database of donors, staff, committee, volunteers, and students.
  • Ensure current volunteer screenings are up to date and onboard new volunteers — verify applications, online screenings, and training are complete.
  • Collect and input weekly ministry and financial data.
  • Manage year-round camping and event registrations.
  • Participate in online training available for all applications and Young Life platforms.
  • Attend weekly staff meetings, assisting in decision-making processes, keeping notes, and initiating post-meeting communications.
  • Assist the area director in holding staff accountable for the completion of assigned administrative tasks and deadlines.
  • Assist the area director in any other administrative-related needs.

Communication

  • Interact with area staff, committee, volunteer leaders, donors, parents, etc.
  • Professional and timely attention to voicemail, email, phone calls and mail.
  • Maintain the eNewsletter recipients' list and manage regular newsletter communications.
  • Keep public calendars up to date.
  • Maintain the local area website.
  • Serve as the point of contact for collecting and disseminating information for camping.

Financial Support

  • Track donor contributions and send timely thank you notes.
  • Provide general financial office assistance.
  • Process and track donations.
  • Lapsed donor follow-up.
  • Expense maintenance and reporting.
  • Invoicing, reimbursements, bill payments.
  • Understand and review the cash position and budget monthly.
  • Provide financial updates when needed.
  • Assist in completing donor and foundation annual reports.

Event Administration

  • Assist in coordinating area staff meetings and committee meetings.
  • Help coordinate and facilitate area events.
  • Work with Deaf staff and appropriate agencies to manage accommodations for Deaf students, volunteers, and staff.
  • Create and manage event registration pages including school-season camping.
  • Keep history of past fundraising events and communication.

Camp

  • Coordinate and assist in securing camp transportation.
  • Create and manage registration pages.
  • Keep track of camp payments.
  • Assist in facilitation of camp fundraising and scholarships.
  • Track camping health forms.
  • Aid staff and leaders in fulfilling requirements for camp.

Qualifications:

  • Administrative background preferred.
  • Bachelor’s degree preferred.
  • Ongoing education and training encouraged.
  • Proficient in Microsoft Office Suite and Google Workspace.
  • Strong organizational skills with attention to detail.
  • Strong written, grammar, and verbal skills.
  • Proven and confident communication and relational skills.
  • Tested and proven in environments that demand proactivity and punctuality.
  • Initiator/self-starter and self-teacher.
  • Proactive — taking initiative rather than being explicitly told what to do.
  • Ability to work as a team member with other Young Life staff and volunteers.
  • Ability to maintain confidentiality.
  • Spiritually and emotionally healthy.
  • Demonstrate a love for Christ and His people. Having a heart for the ministry of Young Life and understanding the role is much more than the related tasks and includes relational work with accountability and a ministry in itself.

Notes:

Hours will average 12-15 hours per week with seasonal variations. The schedule is flexible based on the needs of the candidate and area. Work will be mostly remote with limited time in an office environment.
